These general booking conditions apply to any reservation made on the website www.greenhotels.fr or in any Green Hotel. They form an integral part of the contract. The offers and general conditions presented are valid as of the day they are read. They are updated periodically, however any booking made shall be honoured on the date of the stay under the conditions specified.
When a booking is made, you will receive a confirmation number, which will be required should you need to cancel or change your reservation, or for any correspondence with the hotel.
You can book on the website www.greenhotels.fr up to the day of arrival. There is no advance limit (except for special offers requiring advance booking) provided that prices and availability are shown.
You can also contact the hotel of your choice directly to make a booking. If you are booking late for the same evening, we advise you to telephone the hotel directly.
In most cases, rooms are reserved from 2 PM on the day of arrival to 12 noon on the day of departure. We advise you nevertheless to check these check-in and check-out times at the time of booking, because they may vary from one hotel to another.
If you book a room, it is reserved for you regardless of your arrival time. However, if you plan to arrive after 6 PM*, you must contact the hotel by telephone to notify the staff of your late arrival so that they can make the necessary arrangements. We are not responsible for any complications you may encounter on arrival at the hotel if you should fail to make this notification.
All reservations are guaranteed by a credit card, but the card is not necessarily charged at the time of booking. This only occurs in certain special cases. You can find this information in your booking confirmation document. In case of doubt, please refer to it.
All prices are listed in euros (€) and always include VAT. Certain services may be subject to a supplement. Prices may be subject to certain changes which do not under any circumstances incur the liability of Green Hotels or the hotel operators it represents. In certain cities, a tourist tax, payable in situ, is added to the advertised price. The tourist tax is clearly indicated on your booking confirmation.
MEANS OF PAYMENT
We accept the following bank cards (according to the hotel): VISA, Mastercard, Diners Club, and American Express. The card guarantees your reservation. No debit will be applied on line except in the cases mentioned below. The total bill for your stay must be paid directly to the hotel.
• If the booking is a special offer subject to immediate advance payment (for example, offers not allowing modification or cancellation). In this case, the amount charged as the guarantee is the total cost of the stay.
In all other cases, you settle your bill directly at the hotel. This information is clearly indicated in your booking confirmation document.
Even for bookings where the total amount of the stay is debited at the time of booking, certain taxes, services, or extras must be paid at the hotel. The amount debited on booking includes only services that are payable on booking (certain options may be reserved but are paid at the hotel only), and the tourist tax is always paid at the hotel.
Green Hotels reserves the right to deem your reservation cancelled if the bank card information sent for the payment guarantee turn out to be incorrect. Green Hotels also reserves the right to claim for damages.
DEPOSITS OR ADVANCE PAYMENTS
Certain hotels may ask you to pay a deposit or advance payment on booking, in addition to using your credit card as a guarantee. The amount and conditions of payment of such deposits must be clearly explained to the client by the hotel, and must be accepted by the client before any transaction takes place. This discussion must take place exclusively in writing. In the case of payment of deposits or advance payments, the booking is only confirmed and final after receipt of this payment by the hotel operator. The balance of the booking is paid in situ, directly to the hotel.
SSL SECURE BOOKING SYSTEM
To guarantee the security of your on-line payments, Green Hotels uses the SSL (Secured Socket Layer) secure payment system, providing effective protection for all your sensitive data. The SSL security protocol guarantees the confidentiality of data sent from your browser to the web server thanks to a data encryption method as you input the data when confirming your reservation.
All data are sent to our server within the framework of an SSL session. This means that they are encoded and protected from disclosure to third parties.
The secure areas of our website are indicated by the padlock symbol shown at the bottom of your browser. This is why the URL of Green Hotels starts with https://, where the “s” stands for “secured”.
Any claim related to a reservation or stay in a Green Hotel should be sent by registered letter within 15 days following your return from the trip concerned by the claim, to the following address:

When the above recourse has been exhausted, in other words if the client is not satisfied with the response to the claim or if no response is received two months after the complaint is lodged, the consumer may notify the Cooperative and Associated Trade Mediator free of charge; this mediator has authority for any dispute concerning the execution of a contract of sale or contract for provision of services covered by the present general conditions of sale. The website also gives the mediation charter (Charte de la Médiation du Commerce Coopératif et Associé) and the documentary evidence to be provided.
Although all activities described have been confirmed by our hotels and we have therefore advertised them in good faith, circumstances beyond our control could arise and cause these activities or other services to be suspended or cancelled unbeknownst to us.
Green Hotels defines force majeure as any event external to the parties which is both unforeseeable and insurmountable, which prevents the client, travellers, agency, or service providers involved in the trip from executing all or part of the obligations provided for in the contract. This most notably applies to transport strikes, industrial action by hotel staff, uprising, riot, or any ban imposed by government or public authorities. It is expressly agreed that force majeure suspends the execution of mutual obligations by the parties. In parallel, each of the parties bears the cost of all expenses it incurs as a result of the case of force majeure. Travellers therefore bear the full cost of any additional charges arising for them to continue their journey following the occurrence of a case of force majeure. The Green Hotel Roissy reserves the right to suspend its shuttle service without notice in case of poor traffic conditions or if public transit or Charles de Gaulle Airport should be paralysed due to industrial action.
By application of Law No. 78-17, the Data Protection Act, clients are notified that their order is subject to named computer processing. The right to access and rectification guaranteed by the law may be exercised by contacting PARCINVEST SA – 62 rue de la Perdrix – BP 43038 – 9512 ROISSY CDG CEDEX
RIGHT TO WITHDRAW
The client is reminded that in accordance with Article L. 121-21-8 12° of the Consumer Code, he/she does not enjoy the right to withdraw as set forth by Article L. 121-21 of the Consumer Code.
The Conditions of Sale of the reservation price list specify the conditions of cancellation and/or modification of the booking.
SENDING OF BOOKING CONFIRMATION
For any booking made on the www.greenhotels.fr website, you will receive a confirmation email giving your reservation number. This will be sent to the email address you give when making the booking. It is therefore your responsibility to ensure that you have received this email and to contact us if not.
CHANGING A BOOKING
Changes to a booking (changing the dates, names, number of persons, type or number of rooms, etc.) are allowed, except for prices stating “non-modifiable”. They are subject to the same deadlines as cancellations (see the paragraph on ‘booking cancellation conditions’) when the modification concerns the cancellation of a certain number of nights of the reservation. In that case, the rules concerning the cancellation of a booking apply.

CANCELLING A BOOKING
To cancel a booking, proceed as follows:

• For a booking where the credit card has been debited on line:
Please contact the hotel directly by email or telephone to cancel the booking (you will find this information on the reservation confirmation or the website where you made the booking).
In case of dispute concerning the cancellation date, written evidence produced by us or by you shall be authoritative (proof of sending an email, for example, indicating the date and time).
BOOKING CANCELLATION CONDITIONS
If you cancel your booking, we will apply our cancellation conditions, as follows:
For a stay less than three nights:
• Cancellations are not subject to a charge if they take place before 12 noon on the day of arrival. For any cancellation after 12 noon, a charge equivalent to the cost of the first night will be applied.
For any stay involving three to six rooms:
• Up to three weeks before arrival, cancellation is free of charge.
• Between three weeks and 72 hours before arrival, 50% of the rooms reserved can be cancelled.
From six to 20 rooms reserved:
• Up to four weeks before arrival, cancellation is free of charge.
• Between four and three weeks, 50% of the rooms can be cancelled.
• Any cancellation less than 14 days before arrival shall be invoiced.
Refund requests must be addressed directly to the hotel concerned. No refund will be given the same day. A cheque will be sent to the address given on the invoice no later than thirty days following the date of the request. (This time delay applies in particular in case of payment by cheque.)
INVOICING IN CASES OF LATE CANCELLATION OR NO SHOW
In case of a late cancellation (outside the charge-free cancellation deadlines) or no show, the hotel operator may charge the bank card you have provided as your booking guarantee. An invoice may be issued on request. If the hotel and SEH are unable to do this, we will contact you for another bank card number or to ask you to send us a cheque.
In case of force majeure, the hotel operator may waive the deadlines normally required for free modification and cancellation. The hotel operator may decide not to apply the penalty. In that case, the operator has the right to ask the client for evidence of the case of force majeure.
I acknowledge that I familiarised myself with these general conditions of sale before making my booking. My booking therefore implies my complete agreement to abide by the Green Hotels general conditions of sale and my unreserved acceptance of all of their provisions.
